Privacy notice
Last updated · 6 September 2026
This notice explains what Society Manage records about you, why, who can see it, and what you can ask us to do about it. Your society's managing committee decides what is collected; Society Manage runs the system on the committee's instructions.
What we record
Only what a society needs in order to be run.
- About you: your name, mobile number, flat, your role in the society, and the language you prefer to read in.
- What you do here: your bills and payments, receipts issued to you, complaints you raise and any photographs attached to them, visitors you approve, amenities you book, polls you vote in, and documents you or the committee upload about your flat.
- At the gate: a visitor's name and mobile number, a photograph of the visitor, and where the committee has switched it on, a photograph of an identity document.
- Staff on duty: the time of check-in, a photograph taken at check-in, and the location it was taken, so that attendance is a record rather than a claim.
- Technical: the notification subscription your browser creates when you allow alerts, and an error report if a screen fails, so it can be fixed.
Why we record it
- To run the society: raise bills lawfully, issue receipts, keep the statutory registers, hold meetings and record their minutes.
- To keep the building safe: know who came to the gate and who let them in.
- To answer a dispute with a record rather than a memory.
- To tell you when something needs you — a bill, a visitor at the gate, a reply to your complaint.
Who can see it
Access is decided by the database itself, not by which screen you happen to open, so a link shared by mistake shows nothing the reader was not already entitled to see.
You see your own flat's records. Your society's committee and its office see what running the society requires. Nobody in another society can see anything of yours, ever. A security guard sees visitors and the gate, not your bills.
A push notification is written so that it can be read on a locked phone by whoever is holding it: it never carries an amount, a receipt number, or another resident's name.
How long it is kept
- Visitor photographs and identity photographs are deleted automatically on a schedule the committee sets. Where a visit is under dispute, the photograph is held until the dispute closes.
- Voice messages and gate-call recordings are deleted automatically on the same basis.
- Error reports are deleted after 30 days.
- Your society's financial and statutory records — bills, receipts, registers, minutes — are kept for as long as co-operative law requires the society to keep them.
- If you close your account, your login stops working immediately and your name is removed from the directory. Records the society is legally required to keep, such as a receipt already issued, remain in the society's books.
Who we share it with
Nobody. Your data is not sold, not used for advertising, and not sent to an analytics company. It is shared outside your society only if a law or a court requires it.
Where the committee has switched on translation of the notices it writes, the text of that notice — not your personal details — is sent to a translation service to be rendered in the other languages.
Where it is kept
On servers in India, in the Mumbai region. Photographs and documents are held privately and are opened through links that expire within minutes.
Your rights
Under the Digital Personal Data Protection Act, 2023 you may ask to see the personal data held about you, to have it corrected, and to withdraw consent by closing your account.
- See it and download it: Account, then Download my data. It arrives as a file you can keep.
- Correct it: your name, mobile number and language can be changed from your profile. Anything else — your flat, your role — is corrected by your committee, because those are the society's records.
- Close your account: Account, then Close my account.
- Complain: write to the address at the end of this notice. If you are not satisfied, you may complain to the Data Protection Board of India.
Children
Accounts are for adult members and residents. A child's details appear only where a parent has recorded them as a family member.
